Job Description

We are looking for a proactive and organized Office Manager to manage the smooth and effective operation of our offices. The ideal candidate will be in charge of a number of activities, including procurement, travel bookings, meeting scheduling, document management, and local support for remote team members. The Office Manager will play an important role in ensuring that our office works efficiently and that all administrative activities are performed on time.

Responsibilities

  • Day-to-day procurement activities, such as creating purchase orders.
  • Making travel and lodging reservations for staff.
  • Meetings and events are scheduled and coordinated as needed.
  • Receiving invoices and scanning them into Sharepoint for record keeping.
  • Distribute local documentation while assuring its accuracy and completeness.
  • Engaging with local parties in person as needed.
  • Providing coverage for the local reception desk as needed.
  • Managing incoming phone calls and emails and replaying messages on time.
  • Scanning office documents into our online file system for simple access and management.
  • Remote team members receive local assistance when needed, ensuring that their needs are fulfilled effectively.

Requirements

  • A bachelor’s degree in business administration or related subject is preferred.
  • Proven expertise in office management or administrative positions.
  • Knowledge of procurement processes and purchase order management systems.
  • Excellent organizational and time-management abilities.
  • Pays close attention to detail and completes duties accurately.
  • Proficiency with the Microsoft Office Suite.
  • Capability to multitask and prioritize tasks successfully in a fast-paced workplace.
  • Excellent written and verbal communication abilities.
  • Able to work independently with little supervision.
  • Flexibility and flexibility to shifting priorities and duties.
  • Experience in a similar capacity.
  • Experience with document management systems and online filing solutions.
  • Previous experience supporting remote team members or working in a global organization.
