Main Duties and Responsibilities

The Data Processing Unit Team is in charge of a number of support functions that help the visa section process visa applications more efficiently.This includes data input, general administrative assistance, and assisting with task allocation.

Streaming is the routing of work depending on the larger operation and is crucial to the operation’s efficiency.It is critical that the postmaster transmits the information to the correct location.A standard Operational Mandate is in place, which the position holder must adhere to when carrying out the activities outlined below.

Typical responsibilities include:

  • Entering data accurately, including updating biographical information as needed.
  • Connecting and streaming applications based on risk data. The post holder will make decisions based on a variety of characteristics such as workflow, geography, age, and so on.
  • The post holder will decide what information to enter into the system. They are also in charge of identifying and correcting errors.
  • When additional proof is required to complete processing, applicants are contacted.
  • As needed, assist the management team and the larger Decision-Making Centre.
  • The operating situation is being monitored and reported on.
  • Perform administrative duties in the Special Handling Unit, such as facilitating special applications and responding to inquiries/complaints.

The Enrichment Team completes application checks and assists Entry Clearance Officers in making more informed visa determinations.

Typical responsibilities include:

  • Conducting document verification audits
  • The post holder will pick which documents to enrich and whether they will be able to verify the information they are enriching, i.e. whether it is conclusive or false.
  • The position holder must assess whether they have enough information; if not, they must go online and get further information to verify the accuracy of the information presented.
  • Conducting phone inquiries
  • Where required, provide interpretation during visa interviews.
  • Participating in additional enrichment activities to assist decision-makers.

Visa Writers are in charge of printing and shipping visas.

Typical responsibilities include:

  • Reviewing computer records for accuracy prior to printing, such as validating the quality of endorsement codes and vignettes.
  • The applicant will be accountable for prioritizing their workflow based on whether a case is PV or SPV.
  • When concerns are identified, communicate with coworkers and management.
  • Following the proper procedures for issuing, revoking, or canceling UK visas.
  • As needed, assist management and other teams.
  • Printing and distribution of vignettes for the position holder’s current DMC or other DMCs as needed.
  • Ensuring that vignettes are delivered on time.
  • All hardware issues that arise must be handled.

Requirements

  • Matric/Grade 12 or Equivalent

Skills

  • Must be a good communicator who speaks and writes English fluently.
  • Will accept responsibility for the quality of their own work and collaborate effectively.
  • Excellent customer service skills and attention to detail.
  • Proof of working efficiently against difficult deadlines.
  • Evidence of problem-solving initiative.
  • Prior knowledge with Microsoft programs (Windows operating system, Office applications).
  • Prior experience in data capture and office administration is required.
