Duties

As an Administration Assistant, you would be in charge of the following tasks:

HSSE

  • To effectively manage and reduce HSE risk within the scope of responsibility by ensuring compliance with all HSE policies, rules, guidelines, and legal requirements.
  • Promotion of a safe working environment, as well as positively contributing to the company’s HSE KPIs and risk-reduction goals.
  • That HSE competency standards are defined and enforced within the scope of authority.

STRATEGY

  • Control reception – ensuring that all visitors have signed in, have been tested for alcohol, and have been announced by phone.
  • All sales documentation (delivery notes) must be reviewed for accuracy and policy compliance.
  • Policies
    • All return journeys must be checked and balanced against loaded quantities.
    • Capture delivery information on SSAM, split, and file numerically.
    • Keep track of all retained quantities to ensure they are all accounted for.
    • On trip sheets, check and control profits and losses.
    • Check and sign for all deliveries made to reception, such as couriers and stationery.
  • Deliveries
    • Maintain serial control of all manual documents.
    • Send batches of documents to Metro file for scanning.
    • Respond to POD requests received by the Terminal
    • SAM should be exported for balancing purposes with transporters.
    • Whenever possible, assist with capture.
    • Perform any additional duties as may be reasonably ordered by the Office Supervisor or Terminal
  • Manager
    • Ensure that all administrative duties are carried out within the limitations of the company and in accordance with policies and procedures.
    • Ordering and issuing stationery and canteen supplies at a low cost.
    • Managing the stationery registration for regulated papers.
    • Keeping up with housekeeping standards.
    • Ensure that non-conformances discovered during Administrative Audits are addressed.
    • Monthly submission of the complaint register to local authorities
    • Send all completed P201s to SARS and Turners Shipping for clearance.
    • One Maestro’s primary champion or collaborator
    • Update all noticeboards with pertinent information.
    • Train new interns/learners on your responsibilities.
    • Contribute to the adoption of Process Safety Management (PSM) at the Terminal.

Requirements

  • Grade 12/Matric
  • Less than 3 years experience
