Job Description

Internships are available in the Human Capital Portfolio of the CSIR’s Learning and Capability Development section for Human Resources Administrators. The incumbents will assist the Graduate Development Manager and the team in maintaining the efficient and effective smooth operation of the graduate development department.

They will also be responsible for collaborating with various bursars and students for HR operational support operations of the department; serving as a liaison between clusters and the graduate development department to guarantee the efficient and effective smooth running of the HR department. These positions are based in Pretoria.

Key Responsibilities

  • Manage the Graduate Development Manager’s office by assuring diary management, making travel and lodging arrangements, and having meeting documents ready; managing and controlling the department’s stationery; coordinating equipment maintenance; and telephonic communication.
  • Maintain an efficient and effective filing system (electronic and paper), as well as receiving and dispatching documentation through a mechanism to track documentation flow to ensure document management;
  • Produce documents for the department using all required software, such as presentations, document formatting, spreadsheets, etc.
  • Organize meetings, invites, equipment, and so on in accordance with the department’s needs, such as induction;
  • Draft meeting agendas and/or take minutes per specific meeting purposes and objectives to follow up on actions to be taken.
  • Manage information by downloading data and reporting on Bursary/student data on a monthly basis to ensure the reliability of the Graduate Development department’s data.
  • Assist HRPs with the compilation of Approval to Recruit, Approval to Appoint, and Waivers, and ensure these are signed off and forwarded to the Recruitment Centre for processing.
  • Ensures that timesheets for temporary employees are submitted and processed on time.
  • Coordinates payroll audit inputs and ensures that HRPs check and sign on time for payroll submission (including timely leave submissions on behalf of YES students).
  • Follows up on outstanding invoices and checks to see if invoices are paid.
    Coordinate and synchronize the Divisional annual calendar with CSIR HR annual calendar.
  • Coordinate Divisional / Cluster onboarding process.
  • Support HRP on evaluation and reporting of the HCD pipeline. Bursaries, Research Professional Development Programme (RPDP), Scholarships, DST/ NRF Internships, and other opportunities are available.
  • Other duties and responsibilities – Administrative assistance with the career ladder process, job profiling, interim pay rise approvals, excellence awards project plans adjudication procedure, and HR-related workshop arrangements.
  • Any other allocated HR administrative tasks and activities at the HR Administrator level.
